Configure PineRaffle email notifications
Once you set up a raffle, you can create personalized notifications for eligible raffle participants. Customers will receive notifications:
1. When they place an eligible order
2. When they win the raffle
Important note: An active raffle is a prerequisite to configure these email notifications.
You can easily customize email notifications in PineRaffle. Just follow these simple steps:
Step 1. Once create a Raffle, you will be directed to the Raffle Status tab. Click on the Configure Emails button.

Step 2. You can choose from two email presets to send notifications based on your preference and needs:
- Pineraffle emails: PineRaffle offers pre-made email templates that can be used as-is, or you can create customized emails using their built-in email editor. If you are offering a custom prize, it's crucial to provide clear instructions for winners on how to claim their prize within the "Winning Email."
- Klaviyo Integration: You can integrate Pineraffle with your Klaviyo account to create custom participation and winning emails. This allows you to manage your email campaigns directly within Klaviyo for a more personalised experience.

Step 3: Customizable email templates: Two email templates are available, each featuring distinct functionalities. These templates allow you to modify the emails sent to participants (upon entering a raffle) and winners (when they win), personalising the content based on your store's branding and raffle details.
Edit Participant Email: Personalize your raffle emails with special codes that automatically fill in details like your store's URL, the raffle title, the prize name, and even the recipient's name! You can also include discount codes, the drawing date, ticket limits, and information about free products or gift cards, making it easy to create unique emails for each participant.

Settings:
You can choose a preset template that aligns with your raffle type and make necessary edits for your store. The email subject is set to "Here is your raffle ticket 🎫," and you can include a logo for branding. Additionally, an email footer can be customised to provide relevant information or disclaimers. This setup ensures that your emails are professional and tailored to your needs.
Email body:
You can customize the message to suit your preferences, allowing you to convey your unique style and tone while communicating with participants. This flexibility helps ensure that the email reflects your brand's voice and provides the necessary information effectively.

Edit Winning Email: These parameters are placeholders used in email templates that automatically fill in specific information. For example, they can add your store's URL, discount code, raffle title, prize name, and the date. Other parameters include the total number of tickets, individual ticket numbers, and customer names. Additionally, there are options for including details about any free products or gift cards, making it easy to personalise emails for each participant.

Settings:

Additionally, you can customise the email footer, which may contain important information or acknowledgments related to the raffle. This setup ensures a professional and cohesive communication with participants.
Email body:
You can customise a message to inform winners about their prize and the associated product. It congratulates them, specifies their winning ticket number, and details how to claim their prize by adding the product to their cart and using a discount code at checkout. This personalization enhances the winner's experience and ensures clear communication regarding prize redemption. Additionally, it provides contact information for any questions, maintaining a professional and supportive tone.

Custom Templates
By default, PineRaffle provides two ready-to-use templates — Winning Email and Participant Email — so raffles work out of the box without any extra setup. If you'd like more control over the messaging, you can also create your own custom email templates tailored to your store's branding, then link them to any raffle from its Configure Email tab.
Templates are created and managed from PineRaffle → Notifications.
On the Notifications page:
- Choose email sender — Select whether PineRaffle sends emails directly, or route them through a Klaviyo integration if you prefer to manage email delivery through Klaviyo.
- Create template — Click this button to build a new custom email template.
- Existing templates are listed in a table with their Title, Type (Winning Email or Participant Email), Subject, and Edit/Delete actions.

Creating a custom template:
- Select the Email type — either Participant Email or Winning Email.
- Optionally apply an Email preset that matches your raffle type, or start from scratch and customize freely.
- Enter a Template name (used to identify this template when linking it to a raffle later).
- Enter the Email subject line customers will see.
- Add a Logo URL to brand the email header.
- Add Email footer text (e.g. your store name or branding).
- Write the Email body using the rich text editor — formatting options include bold, italics, lists, alignment, links, and more.
Using parameters in your template:
Custom templates support dynamic parameters that automatically pull in raffle- and customer-specific data when the email is sent. Click Expand next to Parameters to view the full list:

Simply insert these placeholders anywhere in your email body, and PineRaffle will replace them with the actual values when the email is sent to each recipient.

Linking a custom template to a raffle:
Once your custom template is created, go to the raffle's Configure Email tab and select it from the Participant email or Winning email dropdown — any custom templates you've created (alongside the defaults) will appear in this list.
